How to Track Form Leads Across Multiple WordPress Sites
If you run more than one WordPress site, tracking form leads across all of them requires a system. Without one, data ends up scattered, exports get missed, and your team wastes time chasing down submissions that should be right in front of them.
The multi-site lead tracking problem
Each WordPress site stores its own Gravity Forms data independently. There is no built-in way to see submissions from all your sites in one place, and there is no automatic export. The result is that leads sit in WordPress until someone logs in to look at them.
For businesses running multiple sites (a main site, a landing page, a regional subdomain, a product microsites) this quickly becomes a data management problem.
The FormFroggy approach

What the Sheets look like
Each site gets one Google Sheet. Inside that Sheet, each form gets its own tab. So if your main site has a contact form and a demo request form, your Sheet will have two tabs: one for each. The columns in each tab match the fields on that specific form.
If you have a team reviewing leads from multiple sites, you can share each site's Sheet with the appropriate people. Access is configured per site.
Reporting across sites
If you need a consolidated view of leads from multiple sites, the simplest approach is to use Google Sheets' IMPORTRANGE function to pull data from multiple Sheets into a single summary Sheet. You can build a master lead tracker this way without any additional tools.
Alternatively, Looker Studio (formerly Google Data Studio) can connect to multiple Google Sheets and merge the data into a single report. This works well for volume reporting or weekly lead reviews.
Plan limits and upgrades
The number of sites you can connect depends on your plan. The Starter plan covers 1 site, Pro covers 10, and Agency covers 100.
